Why I’ll Never Buy Another Business Printer Without This One Feature

Most IT buyers get printer selection wrong.

In my role coordinating office equipment for a mid-sized logistics firm (I've handled 200+ printer deployments in 4 years, including same-day turnarounds for clients with critical shipping deadlines), I've learned that the feature list on a spec sheet rarely tells you what matters. Everyone obsesses over pages-per-minute and paper capacity. They ignore the thing that actually causes the most help desk tickets: driver compatibility.

Here's my take, and I'm not going to hedge on it: If a business printer doesn't offer a reliable generic or universal printer driver, don't buy it. Full stop.

Most people don't realize that the 'easy setup' promised on the box often assumes you have admin rights to every machine—which is almost never the case in a locked-down corporate environment. What that means in practice: a technician visiting each workstation, manually installing a bloated driver package, praying it doesn't conflict with existing software. That's not a solution. That's a recurring cost.

I know, because I've been that technician. And the third time I had to re-image a machine because of a driver conflict, I decided to change our vendor policy. That decision is why I'm writing this.

What vendors won't tell you about printer drivers

Here's something vendors won't tell you: most 'exclusive' driver packages are just a wrapper around a base driver from the print engine manufacturer. The extra software—the status monitors, the ink-level widgets, the toolbar plugins—is almost always bloat. It adds complexity, increases failure points, and consumes system resources.

The counter-argument from sales reps: 'our proprietary driver gives you advanced features.' To which I say: show me the feature that justifies 45 minutes of IT time per machine, plus the risk of a bad update breaking things. I've yet to see one.

Now, I'm not suggesting you buy a printer with no manufacturer support. That's the other extreme (we tried the 'buy generic hardware' route in 2022—saved $300 upfront, spent $2,000 on support calls). But what I am saying: the ability to use a standard, lightweight driver should be a requirement, not a nice-to-have.

This is where Lexmark has done something smart, in my experience. Their Universal Printer Driver supports most of their laser and multifunction printers with a single package. No feature bloat. No separate downloads per model. It's not perfect (more on that in a moment), but it addresses the core issue: getting a printer to work on a network quickly, without a dedicated IT project.

The 'small order' test (and why Lexmark passes it)

Look, I'll be honest. When I was a junior buyer, I assumed larger vendors wouldn't take my $1,200 printer order seriously. I was partly wrong. The good ones—the ones I still do business with—don't discriminate based on order size. They understand that how they handle your first purchase determines whether you'll buy 20 more units next year.

Lexmark, in my experience, treats small orders with the same seriousness as large ones. When I ordered a single monochrome laser printer for a remote office last March, the driver support documentation was identical to what I'd see for their enterprise models. That matters. It means the company has built their process around the assumption that every installation, regardless of scale, should be straightforward.

Contrast that with another major brand (I won't name them) where the 'small office' printer required a separate utility to even find the network driver. I spent two hours on the phone with their support team (ugh). The printer itself was fine. The experience was not.

But what about compatibility with older systems?

The expected criticism: 'Generic drivers can't handle older applications or specialty paper handling.' That's fair. If you're running a legacy ERP system that prints invoices on custom forms, you might need the proprietary driver for a specific feature like pre-printed check alignment. I don't deny that use case exists.

But here's the thing: that use case is the exception, not the rule. Most businesses printing standard documents—invoices, shipping labels, reports, contracts—don't need those specialized features. They need reliability. And the simplest path to reliability is a driver set that hundreds of thousands of users have already tested.

In Q4 2023, we ran an internal test. We took a standard Lexmark printer and connected it to three different operating systems (Windows 11, macOS Ventura, and Ubuntu 22.04) using their Universal Driver. All three worked in under 10 minutes. The proprietary driver from one competitor took 30 minutes on Windows alone and failed entirely on the Mac.

So, what's the bottom line?

I'm not saying Lexmark is the only company that gets this right. But I am saying: when I evaluate a printer for my organization, the very first question I ask is about the driver setup. Not the speed. Not the paper capacity. How long does it take for a non-technical user to install this printer?

If the answer is longer than 15 minutes using their standard driver, I'm looking elsewhere. That's not being picky. That's being realistic about the time and frustration I'm saving my team. And frankly, I think more buyers should hold printers to that standard.
